Il Porcellino classifies staff, roles and timesheets in Shiftly, with clock-ins it can trust
A hospitality director on why the roles-and-classifications setup and the location-checked clock-in were the features that made timesheets believable.
- is Rebecca's word for the location-checked clock-in and clock-out
- Accurate
- per employee, per month, for rostering, timesheets and award pay
- $0
Il Porcellino manages employee classifications, roles and timesheets in Shiftly, and its staff clock in and out through a location-checked mobile app that director Rebecca Austin describes as really accurate. She rates Shiftly five stars and tells anyone looking for rostering software to look no further. The venue pays nothing for the platform.
Why do restaurant timesheets go wrong?
Restaurant timesheets go wrong at two points: when the hours are recorded, and when those hours are turned into pay. A clock-in from the car park at 4:40 for a 5pm start, a forgotten clock-out after a late close, a kitchen hand who covered a floor shift at a different classification: each one is a small correction at pay time, and a venue with thirty casuals collects a lot of small corrections every fortnight.
The second failure is quieter. Hospitality pay depends on the employee's classification level and the role actually worked, and if those live in the payroll system rather than in the roster, the roster cannot tell a manager that Saturday night is about to cost more than the budget. The pay check happens after the shift, when it is too late to change anything.
What Il Porcellino set up in Shiftly
Each employee is entered once, through paperless onboarding, with their employment type, award classification and the roles they can work. From then on the roster knows what a person costs in each role, and the timesheet inherits the classification without anyone re-keying it. Rebecca's review picks this out directly: Shiftly helps you easily classify employees, their roles and timesheets.
Staff clock in and out on their own phones using the Shiftly Me app, and the clock event records where it happened. A clock-in from outside the venue is visible to the manager as exactly that, so the timesheet reflects time at work rather than time near it. Rebecca's word for the location check is accurate, and accuracy at the clock is what removes the pay-time corrections.
Shiftly is amazing! If you are looking for rostering software, look no further. Shiftly helps you easily classify employees, their roles and timesheets and the geotracking element for clocking in and out is also really accurate.
How do classifications turn into pay?
Shiftly's award interpretation engine takes each approved timesheet, reads the employee's classification and the role worked, and calculates the pay under the venue's award, including penalties, overtime and allowances. The output exports to the venue's payroll system; Shiftly does the calculation and leaves the pay run to payroll.
For a restaurant on the Hospitality Industry (General) Award, the rules the engine applies include:
- Penalty rates by day: 125% Saturday, 150% Sunday and 225% on public holidays for full-time and part-time staff; 150%, 175% and 250% for casuals, whose 25% loading is applied first.
- Evening loadings Monday to Friday: an extra $2.95 an hour between 7pm and midnight and $4.42 an hour between midnight and 7am, split automatically when a late close crosses the boundary.
- Overtime triggers: more than 38 hours a week on average or more than 11.5 hours in a day for full-time staff, fewer than 8 hours between shifts, and more than 12 hours in a day for casuals.
- Minimum engagements: 3 hours for part-time and 2 hours for casual staff, warned at roster time.
- Meal breaks: an unpaid 30-minute break within the first 6 hours of any shift longer than 6 hours, with the 50% penalty calculated when the break is not taken.
Award figures are as stated on Shiftly's Hospitality Award guide, current for the first full pay period on or after 1 July 2026 and last verified July 2026. Confirm your venue's award and classifications with Fair Work or your accountant.
What does Il Porcellino pay for this?
Nothing. Onboarding, classifications, rostering, timesheets, location-checked clock-ins and award interpretation are all part of Shiftly's free platform, with no per-employee or monthly fee. Shiftly earns its revenue when a venue fills an extra shift through the On-Demand marketplace. The restaurants page shows the setup for a venue like this one, and pricing has the detail.
This would suit your venue if
- Your team spans several award classifications and roles (kitchen, floor, bar, supervisors) and pay depends on which one a person worked.
- Your timesheets get corrected at pay time because clock-ins do not match rostered shifts.
- You want the person who enters an employee once to never have to enter them again.
